What is invoice matching in accounting?
Matching means pairing the entry for an invoice with the entry for the payment that settles it, under a shared reference. A matched account is an account whose balance is explained: you can see what is still owed and what has been paid. In a firm, it is done account by account and file by file, from the bank movements and the invoices. It is what lets you produce a reliable aged balance, chase the right unpaid invoices, and review a file without going back through its whole history.
Does Sanso work with my production software?
Sanso reads the invoices and bank movements on the file, does the reconciliation, then writes the match back into the firm's production software. That last step is the one that depends on the software: some, such as Pennylane, Xero and QuickBooks, expose an API that can post a match onto existing entries; others cannot yet, and Sanso then prepares the reconciliation for your bookkeeper to post. How do you automate reconciliation in an accounting firm?
Automating reconciliation means handing the pairing of payments and invoices to an AI agent: it reads the bank movements and the unmatched invoices on the file, reconciles what it is certain of, and leaves only the ambiguous cases to the bookkeeper. What sets this apart from a rules engine is that it draws on the file's own history to trace a supplier behind a meaningless label, and that it learns from the calls your bookkeepers make. In a firm, the automation plugs into the production software and the entries are posted there directly, with no double entry. That is the principle Sanso applies, across the firm's whole portfolio.
Does Sanso work on every file in the firm?
Access is created once at firm level and covers the whole portfolio, with no key to set up file by file. How much can be reconciled automatically depends on your production software: we look at that with you, firm by firm.
What happens to a match Sanso is not certain about?
It is not made. The case goes to your bookkeeper with the candidates ranked, the most likely one first with its confidence score, along with the file's context. Sanso only matches what it is certain of.
Can a match made by Sanso be undone?
Yes, like any other entry in your production software. What Sanso matched is identifiable, the reason for the match can be inspected, and the firm stays in charge of its own books.
Does Sanso contact the firm's clients?
No. Your bookkeeper remains the client's only point of contact. Sanso works on the invoices and bank movements on the file, and escalates whatever calls for a judgement.
How long does setup take?
A few days. The firm creates an access, Sanso connects to your production software and imports the files, and the first client file runs straight after.
Where is the data hosted?
In the European Union, in line with the GDPR. Data is encrypted, access is limited to those who need it, and the firm can withdraw that access at any time.
